Helms, Project Manager Ce: Ben Burchfield, Public Works Director DATE: July 3, 2023 SUBJECT: Public Safety Training Facility Background When we entered into an agreement with Stantec for consulting services related to the Public Safety Training Facility the scope of work included facility design, stormwater design (temporary and permanent), permitting, development of bid documents, and oversight of the bidding process. The design component included a set number of concept, preliminary, and final design submittals prior to bidding. Because we anticipated limited services to be needed during the construction phase and including them in the initial agreement as a lump sum would likely create a scenario where the City would end up paying more than we would by paying on an as needed basis, we did not include these services in the scope of work in the initia! agreement other than to establish the hourly rates at which these services would be billed. The Construction Phase services include submittal approvals, plan revisions during construction, pay application review and approval, and site inspections. We have received a Change Order Request from Stantec for the Construction Phase services and based upon the total cost it appears the decision to structure it this way was a good one from a financial perspective. With over 75% of the services completed and with the final 25% estimated, the change order request is for a total of $1,500. Action Item We are requesting City Council approve Change Order #4 with Stantec for Construction Phase services rendered for the Public Safety Training Facility project in an amount of $1,500.
