was going to cost more than originally projected, I inquired about the process for requesting a share of 
the funds returned by others. 
 
Apparently, the process for requesting these funds was still a work in p rogress. However, I continued to 
work with the grant administrators  to pursue the additional funds while detailing the various additional 
expenses our project had incurred. This process took about six weeks, but I was ultimately notified that 
we had been awarded an additional $ 321,563.10, which required an additional  15% local match. This 
brought the total project budget to $3,097,485.76 , of which $404, 019.89 is local funding.  Council has 
already approved the bulk of these addition al ex penses through agreements with Gresham Smith for 
professional services related to the project. By obtaining these additional funds, the City’s additional share 
was reduced from over $250,000 to the required additional local match of about $50,000. 
 
The City Council needs to authorize the expenditure of these funds through an amend ment to the 
agreement with  Wilson Construction Group . The new contract total being presented for approval is 
$2,244,885.69. The only construction-related expense that has yet to be finalized is the paving repairs at 
Regional Park, but this total includes an amount based upon unit prices and estimated quantities . The 
Wilson Construction Group contract amendment, combined with adjustments to other expenses that are 
less than originally budgeted and the additional grant funds received, brings  the total estimated project 
cost to $3,102,041.00. Because this amount exceeds the total available project fun ding, the City will be 
responsible for the excess amount of $4,555.24, in addition to the required  15% local match, for a total 
estimated local contribution of $408,575.13. If the paving costs are less than anticipated, the amount of 
the City’s additional contribution will be reduced accordingly. 
 
Given that there was no co ntingency initially approved for this project, the additional funds being 
requested are well within the typical  contingency allocation for a project such as this , which would 
generally range between 10% and 20% of the initial project cost. 
 
Action Item 
Approve an amendment  to the agreement with Wilson Construction Group , increasing the contract 
amount by $213,330.70 to a new total of $2,244,885.69.
